Payroll & Benefits Manager

Job Purpose

To take responsibility of the payroll and personnel administration processes for all Swim England companies as well as selected related 3rd Parties. Work proactively, as part of the Finance Team, to enable the effective and timely management and administration of the payroll and upkeep of the payroll personnel records.

About The Role

We are seeking an experienced Payroll & Benefits Manager to join our team on a permanent full time basis. The role is full time (35 hours per week) but we are open to flexible working hours to suit the successful candidate providing that they also meet business requirements. The role will be based at our SportPark Office in Loughborough with occasional home working.

This is an exciting opportunity working within the Finance department and working collaboratively with our People Development department. Reporting to the Group Finance Manager you will be responsilbe for the monthly payroll processes for all companies, and our pay affecting benefits such as pension, life assurance and healthcare plans. You will be responsible for the timely management and administration of the payroll and upkeep of the pay related records, producing monthly reports to input into the monthly management accounts.

The monthly payroll includes approximately 400 employees / casual workers. The role is essentially a stand alone payroll role but with some support from a part time Payroll Administrator; therefore it is essential that you have experience in all end to end processes related to payroll and take responsiblity for keeping up to date with changes in legislation related to pay. In addition the role requires liasion with a number of key stakeholders and therefore it is important that you have excellent communication and stakeholder management skills.

Key Responsibilities 

  • Provide day-to-day maintenance of all payrolls, ensuring accurate payments are made on time to employees, pension and healthcare providers and HMRC for PAYE and National Insurance liabilities
  • Act as a super user for the people and payroll databases, ensuring that the ResourceLink and MyView systems are regularly upgraded to be compliant with current requirements, for running payroll and booking leave, resolving queries where required
  • Produce accurate annual budget data when required
  • Integrate the payroll costing files into the accounts software in a timely manner
  • Complete all relevant HMRC / payroll returns etc in a timely manner
  • Produce monthly payroll reconciliations as required, or ensure that others have the skills, knowledge and capabilities to provide them instead
  • Control the life assurance data
  • Provide maintenance of the pay related online benefits platform
  • Provide data and information to the People Development Team to enable them to model options for structural changes
  • Maintain contracts for the Benefits in Kind offered by the organisation and support staff who have queries regarding them
  • Carry out any other duties within the scope, spirit and purpose of the job and proactively comply with organisation policies and procedures

About You

In order to be shortlisted for the next stage in the process you must demonstrate within your application how you meet the following essential criteria:
  • Proven experience in a similar role in payroll in a small to medium organisation.
  • Excellent understanding of payroll and benefits procedures and processes 
  • 5 GCSEs (including Maths), A Levels or equivalent 
  • Have achieved or are working towards a recognised payroll qualification
  • Experience of using Northgate / Zellis Payroll and HR software
  • Knowledge of a range of payroll systems
  • Previous experience of implementing new payroll systems
