PGA Office Administrator

The Professional Golfers’ Association is seeking applications for the role of Office Administrator working as part of a small team to provide administrative support to the Regional Manager and Tournament Staff in the day-to-day operations of The PGA in Ireland.

Established in 1901, the PGA’s mission is to improve the personal and professional lives of its Members through its strategic principles of providing world class services, influencing and delivering through its Members and delivering exceptional prestige standards.

Duties will include provision of administrative/secretarial duties; excellent written, verbal & social media communication; receive, collate, create all Tournament entry forms; ensure Tournament entry/sponsorship fees are invoiced, payments are recorded accurately and timely; accurately input information onto Tournament management database, provide administration to support Tournament activities; prepare draws; Tournament closure (e.g. award points and prizes); assist (when necessary) tournament staff at any PGA administered events; general office duties; financial reconciliation, petty cash handling, tournament fees/pro-am entry fees; assistance in ordering stationery support/equipment for office; assist with all committee meetings to include organisation, drawing up/distributing agendas, minute taking/distribution; assist with creating Member disciplinary letters; assist in creation of Tournament files, ensuring files are complete and available for events; general reception duties, telephone, email, letter and face to face enquiries; co-ordinate regional CPD seminar entries/payments; administer BlueGolf tournament system/managing public-facing pages to ensure accuracy and consistency.

Essential qualifications, skills and competencies:

  • Certification in English and Mathematics to demonstrate a good level of numeracy and literacy;
  • Strong administration and IT experience including MS Office and social media;
  • Knowledge of database management (preferably CRM);
  • Excellent communication skills (written and verbal);
  • Basic accounts and cash handling experience;
  • Experience in taking, producing and distributing meeting agendas and minutes;
  • Flexibility;
  • Ability to work as an individual or part of team;
  • Good organisational and customer care skills;
  • Ability to plan and prioritise work to meet strict deadlines;
  • Good communication skills (written & oral);
  • Ability to understand the needs of the business;
  • Good attention to detail;
  • Understanding of the profile of a membership-orientated organisation;
  • An interest in golf and the golf industry.

This is a permanent, full-time role (35 hours/week). Whilst the role is based at The PGA in Ireland office, currently in Dundalk, we are providing the opportunity to take part in our hybrid working trial. With current COVID guidance in place, it is anticipated the successful applicant will work from home until Spring 2022 and from that time onwards applicants should be prepared for a significant amount of working time to be based in and around the Dublin area. Our core hours are 9am until 5pm Monday-Friday but our hybrid working offers more flexibility in working hours and, subject to role requirements and the need to work at events, the opportunity to spend up to 60% of the week working remotely.
