ROLE SUMMARY    

The Events and Communications Officer is a member of the Marketing, Communications and Member Engagement (MCME) Team. Working within a highly focused team, the successful candidate will have responsibility for promoting and delivering the organisation’s events programme. This includes delivering our: member meetings; flagship events; training programmes; and our annual AGM/Conference, as well as the Community Sport and Recreation Awards ceremony.

This is a broad and collaborative role responsible for an events programme that provides valued engagement with our members, and the wider sector, and is integral to the reputation of the organisation. The role is also responsible for the communications and marketing activity of the programme, so you will work closely with the wider Communications Team.

This a busy role with some real responsibility so it represents a really good chance to learn and make your mark. The environment is very positive and fun as you would expect in a sporting organisation – but we work hard.

MAIN TASKS AND RESPONSIBILITIES

  • Help establish, plan and deliver the annual events programme. This includes working with the Director of MCME and liaising with other teams, venues, delegates, speakers and suppliers as necessary.
  • Manage contracts in relation to all aspects of events providing recommendations to senior managers negotiating best value, and ensure that contracts are fit for purpose and therefore reducing any financial risk to the organisation.
  • Help create and deliver all communications for the events programme, working with other members of the Communications Team, including key messages, content for website, event app and events newsletter.
  • Compile a regular events newsletter and help promote the events programme working with the Membership Engagement Manager.
  • Work closely with the Business Development Manager to make sure all elements of activation for sponsors is achieved.
  • Monitor and evaluate the success of each event in relation to quality, purpose and success in line with the Alliance’s operational objectives. This will include use of SurveyMonkey and reporting on a quarterly basis through the Alliance’s Operational Plan.
  • Manage the current online booking system making sure that the process for delegates booking and paying for events is efficient
  • Assist the Membership Engagement Manager in continuing to develop a new booking system
  • Process invoices related to events and conduct credit control duties in relation to these invoices.
  • To undertake any other duties as reasonably required.

PERSON SPECIFICATION

Essential skills, knowledge and experience

  • Good experience of event organisation, including budget management
  • Strong, lively writing skills with an excellent command of grammar and English
  • Know how to write for different audiences
  • Knowledge and experience of working with MS Outlook, Word and Excel
  • Excellent communications and interpersonal skills
  • Ability to work on own initiative and as part of a highly motivated team
  • Confident to present to audiences and able to chair meetings, both internal and external
  • Excellent organisational skills and the ability to prioritise workloads and manage time efficiently

Desirable Attributes

  • Experience of event sponsorship
  • Experience of project management
  • Internal communications in a membership organisation
  • Experience using online registration and payment systems for events
  • Experience of utilising a CRM system
