Member Services Administration Assistant

Location: The PGA National Headquarters, Centenary House, The Belfry, Sutton Coldfield, West Midlands

The PGA is seeking applications for the role of Member Services Administration Assistant based at The PGA National Headquarters, Centenary House, The Belfry, Sutton Coldfield, West Midlands

The PGA’s mission is to improve the personal and professional lives of its Members through our values of being professional, acting with integrity, being respectful and supportive.  To help us deliver our core objectives, the PGA is seeking to recruit a Member Services Administration Assistant, based at PGA National Headquarters, The Belfry who will provide administration support to the Recruitment cell and Regional Manager (Overseas) and general support to the Member Services Departments as required.

Based within the Member Services Department,assisting with the recruitment process for Members/Clubs; co-ordinate approval of proofs/advertisements prior to publishing, PGA Website/magazine; overall responsibility for recruitment advertisements for the PGA professional magazine and online on the PGA website; create lists of paid/unpaid adverts ensuring entries are submitted in line with publishing deadlines; process payments/invoicing/placement forms, upload to PGA job board; review the market to identify jobs in the golf

industry to present to Members; dealing with general member email, telephone enquiries; process booking forms for Overseas Conferences; communicating with delegates; producing minutes of meetings and agendas; assisting with the maintenance and population of the overseas section of the website; collating member survey information and Member newsletters; attending team meetings; maintaining the Member database all in line with the General Data Protection Act; arranging travel including flights, hotel accommodation/foreign currency requests; organising meetings, attendance, venues and refreshments;assisting with internal processes; assisting with VISA applications;supporting colleagues with and at member facing activities/events as and when required.

Essential Skills and experience

  • Administration experience
  • Good level of literacy and numeracy
  • Excellent IT skills including Microsoft Word, Excel, Outlook plus Photoshop (desirable)
  • Previous Database management experience
  • Experience taking and producing minutes/notes of meetings

Having a flexible, ‘can-do’ approach with a focus on the business, our people and PGA Members is fundamental for the role, as is having the ability to manage a varied workload whilst being positive, professional and supportive.  Being a good communicator with excellent attention to detail are amongst the key competences needed to succeed in this role.

This is a permanent, full-time role (35 hours per week) working around the core hours of the business which are Monday to Friday 9am until 5pm but occasional working outside of these hours will be required.  In addition to a competitive salary, the Association is offering membership of the PGA pension scheme and (after a qualifying period) membership of the private healthcare, group income protection and group life assurance schemes.
