Job Purpose

The Kit Manager will support the operational elements required to deliver the best prepared ParalympicsGB team to the Tokyo 2020 Games.  The role has a distinct responsibility for managing ParalympicsGB Team Kit.

ParalympicsGB will issue over 2,000 Team Kit bags to c500 team members for the Summer Paralympic Games in Tokyo.  This is a highly complex operation requiring strong project management skills, meticulous attention to detail and a logical approach to tasks.

The Kit Manager will project manage the end-to-end kit process from design and order placement through to kit distribution and will be responsible for delivering the project on time, within budget and to world class standards.

The Kit Manager will build and maintain effective relationships with the BPA’s Team Kit Partners, adidas and ASOS, and other relevant stakeholders such as Sport Team Leaders, with regards to the design, selection, ordering, and distribution processes, and to successfully deliver appropriate Team Kit packages to all selected team members.

Key Responsibilities

This role will be responsible for working with BPA’s Team Kit Partners, adidas and ASOS, in the delivery and distribution of ParalympicsGB Team kit for the Tokyo 2020 Paralympic Games, which will entail the following:

Project Management and budgeting

  • Project manage all aspects of the kit and kitting out process, from kit design and order placement through to kit distribution.
  • Manage internal cross-departmental working groups and meetings with external stakeholders.
  • Manage and report on the kit budget.
  • Manage the budget recharge process. 

Relationship Management

  • Manage the day-to-day interaction with adidas and ASOS regarding the ParalympicsGB order placement, production tracking, order delivery and issue resolution;
  • Lead on the preparation of all sport-specific competition wear orders, working closely with the 22 Summer Sport Team Leaders to fully understand and address sport-specific kit requirements in the adidas kit order.

Kit design process

  • Review and give feedback to adidas and ASOS on kit designs and samples.
  • Ensure that all kit items are compliant with International Paralympic Committee (IPC) and International Federation rules and regulations for the Paralympic Games.
  • Manage the pre-Games sign-off process of kit designs with the IPC and Sport Team Leaders.

Order placement and tracking

  • Manage the sizing data collation process for the delegation.
  • Build the order book for the adidas kit order, which involves identifying garments to be included in each kit package (the range selection), calculating the number of garments needed per individual, determining appropriate contingencies and preparing size curves.
  • Review and input into the ASOS kit order.
  • Monitor progress of the adidas and ASOS orders to ensure that delivery timelines are on track.
  • Lead on issue resolution.

Manage the “Kitting Out” process and Kit Distribution Warehouse

  • Determine the Kitting Out model for Tokyo 2020. This is likely to include athlete facing kit sizing sessions and a back-of-house kit distribution process in a warehouse.
  • Identify appropriate venue(s) and dates for ParalympicsGB kitting out.
  • Working in collaboration with the Events Manager, determine the operational plan for team member kit sizing sessions.
  • Work with Sports to co-ordinate sport kitting out appointments and kit delivery schedules.
  • Design, set-up and manage a kit warehousing solution, including a process for managing stock inventory.
  • Coordinate procurement of all material handling equipment.
  • Manage warehouse safety, security and cleaning standards.
  • Liaise with adidas, ASOS and logistics suppliers regarding kit deliveries.
  • Prepare pick lists to support the “Pick and Pack” process.
  • Coordinate distribution of kit to all ParalympicsGB team members.
  • Manage and motivate all kitting out staff, contractors and volunteers.
  • Source appropriate staff accommodation, catering, transport, technology to support the kitting out process.
  • Support Team Launch event delivery and lead on kitting out elements.
  • Analyse and prioritise kit elements to be shipped out to Japan.
  • Oversee consolidation of kit after kitting out and coordinate air freight of remaining stock to the Paralympic Village with our logistics supplier.

Games Time responsibilities

  • Manage the kit sign-off process with the IPC in the Paralympic Village: coordinate attendance, ensure kit is available for sign-off; and deal with any issues raised following kit inspection.
  • Lead on issue resolution of all kit issues.
  • Establish local contacts in Tokyo to assist with competition wear issues e.g. local embellishment, seamstresses.
  • Set-up and manage the kit storage room in the Village.
  • Coordinate any supplementary kit requests from other locations e.g. ParalympicsGB Preparation Camp (Yokohama/Kawasaki) and the ParalympicsGB Hub in Tokyo.
  • Maintain the kit inventory system and lead on the preparation of kit freight back to the UK after the Games.
