Financial Director

Salary: This is a voluntary role but the WDSA (UK) will refund reasonable travel & subsistence expenses and all work-related expenses. 

Location: Based at WDSA (UK) Head Office in Watford. Will need to attend board meetings in Watford.

Objectives

You must be well organised, able to keep records, careful when handling money and cheques, scrupulously honest, able to answer questions in meetings, confident handling figures, prepared to take instant decisions when necessary to become the WDSA (UK) Treasurer/Accountant and member of the Board of Trustees, providing sound strategic guidance, governance and leadership to help drive this Association and Charity forward.

Finance Duties include:

  • paying the bills and recording information;
  • keeping up to date records of all financial transaction;
  • ensuring that all cash and cheques are promptly deposited in the bank or building society;
  • ensuring with Board all funds are spent properly;
  • issuing receipts for all money received and recording this information;
  • remain accountable to the chair and board of trustees, including attending monthly meetings and responding to communication in between meetings
  • preparing a year-end statement of accounts to present to the Independent Examiner;
  • presenting an end of year financial report to the AGM;
  • financial planning including an annual budget and monitoring it throughout the year;
  • helping prepare and submit statutory documents, such as Charity Commission and Company House reports, VAT returns, PAYE and NI returns, grant aid reports;
  • Review and update Financial policy and procedures and provide guidance to staff/volunteers on financial procedures as agreed
  • Chair the Association’s Finance and Management Sub Committee;

General Trustee Duties

  • Ensure that the organisation complies with its governing document, organisation law, and any other relevant legislation or regulations.
  • Ensure that the organisation pursues its objectives as defined in its governing document
  • Ensure the organisation applies its resources exclusively in pursuance of its objectives, i.e. the organisation must not spend money on activities which are not included in its own objectives, no matter how worthwhile or charitable those activities are
  • Contribute actively to the board of trustees' role in giving firm strategic direction to the organisation, setting overall policy, defining goals, setting targets and evaluating performance against agreed targets
  • Safeguard the good name and values of the organisation
  • Represent the company at functions and meetings as appropriate
  • Declare any conflict of interest while carrying out the duties of a trustee
  • To be collectively responsible for the actions of the organisation and other trustees
  • Ensure the effective and efficient administration of the organisation
  • Abide by the equal opportunities policy
  • In addition to the above statutory duties of all trustees, each trustee should use any specific knowledge or experience they have to help the board of trustees reach sound decisions.  This will involve scrutinising board papers, leading discussions, focusing on key issues, and providing advice and guidance requested by the board on new initiatives, or other issues relevant to the area of, the organisation's work in which the trustee has special expertise
  • Attend meetings, and to read papers in advance of meetings
  • Participate in other tasks as arise from time to time, such as interviewing new staff, helping with fundraising

Person Specification 

Essential

  • Professional experience of at least some of the activities listed in the specific role description (finance duties)
  • Understanding of the requirements of being a trustee and willingness to accept this responsibility
  • An interest in the work of WDSA (UK) Volunteers
  • Ability to be an effective member of the board and work as a team
  • Willing to abide by organisational procedures e.g. confidentiality, equal opportunities
  • Able to attend monthly meetings and devote time between meetings for WCV affairs.
  • Willing to commit to a minimum of 1 year with the charity
  • Computer literate

Desirable

  • Qualified or part qualified accountant (or equivalent)
  • Knowledge of the challenges of running a small charity
  • Experience of volunteering on a board or committee
  • Ability to lead an organisation through change
  • Interest in getting involved with other aspects of WCV work
  • Willingness to commit to 4 years with the charity

A trustee is required to act reasonably and prudently in all matters relating to the charity and must always bear the interests of WDSA (UK) in mind. 

Section 72(1) of the Charities Act 1993 disqualifies anyone who:

• has been convicted of an offence involving deception or dishonesty, unless the conviction is spent

• is an un-discharged bankrupt

• has previously been removed from trusteeship of a charity by the court or the Charity Commissioners

• is under a disqualification order under the Company Directors Disqualification Act 1986

It is an offence to act as a charity trustee while disqualified unless the Charity Commission has given a waiver under section 72(4) of the Charities Act 1993.
