PA to CEO / Office Coordinator
Salary: Circa £22,000 (subject to skill and experience)
Location: Essex County FA, The County Office, Springfield Lyons Approach, Springfield, Chelmsford, Essex, CM2 5LB.
Job Purpose
· Provide support to the CEO role and coordinate the effective day to day function of the office environment
· Provide administrative support to the CEO role
· Coordinate, implement and maintain office Policy and Procedure including HR
· Maintain Office Filling systems, archiving and stationery
· Provide proactive support, minute taking and coordination of arrangements for Essex FA Board and Council Meetings
· Attend meetings, take minutes and follow up on actions
· Coordinate FA Cup, International and EFL Ticket distribution
· Opening, acknowledging and co-ordinating responses to post and e-mail enquiries
· Provide an effective professional response to all visitors and enquiries by phone and face-to-face
· Creating presentations, reports, uploading them onto company systems, printing and distribution
· Update and maintain telephone lists and contact details
· Working as part of a team to assist in events including preparation of invites and information documentation, managing attendees, distributing tickets and assisting in duties at the event
Essential:
· Good interpersonal, team and communication skills confident dealing with staff and members at all levels
· Good self-management of time and the ability to meet deadlines
· Ability to work independently
· Ability to work flexible and sometimes unsociable hours
· Excellent organiser, communicator and presenter
· Diplomacy and the ability to deal with and maintain confidential information
· Able to use a variety of IT packages (e.g. Office, Word, Excel, PowerPoint, Outlook) at intermediate /advanced standard
· Experience of working within an administrative role with robust administrative skills with the ability to draft documents without guidance
· Works on own initiative, and is effective when under pressure
· Has a proactive and resourceful approach
· Must be able to prioritise a demanding workload
· High attention to detail
Desirable:
· Knowledge and experience of HR
· Project management and planning skills
· Experience in working with volunteers
· Experience of finance working
· Has previous experience of delivering a proactive approach to supporting a senior executive in a high performance, fast paced organisation
